These are the operating loops I am building and refining in my plumbing and HVAC business. Event-driven handoffs happen in minutes; scheduled checks run on their own cadence.

01 / PAID LEADS

Automate lead disputes.

My lead-dispute workflow connects the call, transcript, provider settings, and ServiceTitan booking. Automated checks flag questionable charges and prepare the evidence for a dispute. Provider rules and service menus get checked before a claim goes out.

REAL EXAMPLE

A well-pump lead prompted us to check the provider’s active service menu before challenging the charge. That check also exposed settings that needed attention.

02 / INBOUND CALLS

One alert that gets smarter.

Answered and missed calls flow into a dispatch alert with the outcome, handler, and transcript when available. A ServiceTitan lookup enriches that same alert after a seven-minute wait, so the team gets job context without a second message.

A call alert can start with the conversation, then update with the matching ServiceTitan customer or job record when it is ready.

03 / INSTALL CREWS

Send the job, including photos.

The moment an install is ready, the assigned crew gets an alert with scope, job notes, and photos. They can see what was sold and what they are walking into without hunting through messages or calling the office.

A tankless install handoff can put equipment details, arrival information, site photos, and crew notes together in one alert.

04 / JOB CLOSEOUT

Review the work before it closes.

Completed-job photos and notes are checked against the scope and relevant plumbing or HVAC code references. Missing evidence or a possible issue gets flagged before closeout. A qualified person makes the final call on the work.

A completion review can catch a missing required photo or a code question while the job is still fresh, instead of after the invoice is closed.

05 / CUSTOMER OUTREACH

Text when the weather makes it useful.

Local forecast signals feed segmented text campaigns tied to the services a homeowner may need. The message and audience fit the condition, and the workflow can start within minutes of a trigger.

REAL EXAMPLE

Incoming heavy rain can trigger a sump-pump check-in for the right customers; a heat spike can prompt an AC message for another group.

Catch the quiet misses.

A weekday permit check looks for open jobs that require a filing but do not show one yet. It excludes completed jobs and routes the remaining exceptions to the people responsible.

The office sees a short list of permit gaps to resolve instead of manually searching every open job.

The hard part is the handoff. Calls, lead-provider rules, ServiceTitan records, job photos, code references, weather, and customer history have to line up. I build the connections around the people who own the decision.

I spent years in fintech, data science, software, and AI. At Intuit, I helped invent systems for call routing, forecasting, and model selection. Three public patent filings name me as a co-inventor; two became granted U.S. patents.

My dad was a carpenter, so I grew up respecting the work behind a truck. Then I started my own plumbing business and added HVAC. I learned the operation by owning it: the phones, dispatch board, technician handoffs, payroll, and jobs that slip between systems. Today I can talk through the technology, open my ServiceTitan dashboard, and ask a technician whether the handoff actually helped.
